How to Connect Google Calendar to Your AI Receptionist
Google Calendar is the go-to scheduling tool for millions of businesses. When you connect it to AnswR, your AI receptionist can check your real-time availability and book appointments directly into your calendar — no back-and-forth, no double-bookings.
Whether you're a solo operator or managing a team, this integration turns every phone call into a potential booking. Here's how to set it up.
Why Connect Google Calendar
Without calendar access, an AI receptionist can take messages and promise callbacks. Useful, but not ideal. With Google Calendar connected, it becomes a booking engine. It knows exactly when you're free, offers those times to callers, and locks in appointments on the spot.
For businesses where appointments drive revenue — think hairdressers, dentists, consultants, tradies — this is a game-changer. Every call that comes in while you're busy can still result in a booked appointment. No callbacks needed.

Step-by-Step Setup
Step 1: Log in to AnswR
Head to your AnswR dashboard. If you don't have an account yet, start your free trial — it only takes a minute.
Step 2: Go to Settings → Integrations
Navigate to the Integrations section and find the Google Calendar card.
Step 3: Click Connect and sign in with Google
Click Connect, then sign in with the Google account that owns the calendar you want to use. Google will ask you to confirm that AnswR can view and create events. Click Allow.
Step 4: Select your calendar
If you have multiple calendars (e.g. "Work", "Personal", "Team Schedule"), choose which one AnswR should read from and write to. You can select multiple calendars if you want AnswR to check across all of them for conflicts.
Step 5: Set your booking rules
Configure how AnswR handles bookings. You can set minimum notice periods (e.g. no same-day bookings), appointment durations, buffer times between appointments, and your working hours.
Step 6: Test it
Call your AnswR number and ask to book an appointment. Check your Google Calendar — the event should appear within seconds, complete with the caller's name and details.
How It Works in Practice
"Hi, I need to book a consultation. Do you have anything available on Thursday?"
Your AI receptionist checks Google Calendar in real time. It sees you're booked from 9am to 12pm on Thursday but free after lunch. It offers 1pm or 2pm. The caller picks 2pm. AnswR creates a calendar event with the caller's name, phone number, and the reason for the appointment. Done.
The entire interaction takes about 30 seconds. No phone tag. No "I'll check and call you back." The appointment is booked before the caller hangs up.
Working with Multiple Calendars
If you manage a team, you can connect multiple Google Calendars to AnswR. This is particularly useful for:
- Multi-staff businesses — AnswR checks all team members' calendars and books the first available person.
- Multiple locations — Each location can have its own calendar, and AnswR routes bookings accordingly.
- Personal vs work calendars — Block out personal time on a separate calendar, and AnswR will respect it as unavailable.
This is especially powerful when combined with other integrations. For example, you could use Google Calendar for scheduling and Xero for invoicing — giving your AI receptionist a complete picture of your business.
Tips for Best Results
Block out unavailable time
If you have time you never want booked (e.g. lunch, admin hours, personal commitments), block it in your Google Calendar. AnswR treats all calendar events as "busy" by default.
Set realistic buffer times
If you need 15 minutes between appointments (for travel, setup, or notes), set this in your AnswR booking rules. Your AI receptionist will automatically space out appointments.
Use descriptive calendar event titles
AnswR creates events with titles like "Appointment — John Smith (blocked drain)". This makes it easy to scan your calendar and understand what each booking is about at a glance.
Enable calendar notifications
Turn on Google Calendar notifications for new events. This way, you'll get an instant alert on your phone whenever AnswR books an appointment for you.
