When Your AI Receptionist Should Take Details, Not Quote Prices

Everyone assumes the point of an AI receptionist is to book the job on the spot. For a lot of trade businesses that is exactly the wrong setting. Over the last few months several of our customers have asked us to turn bookings off and have the receptionist do one thing well: take the details and hand them over. Here is why, and what that mode actually does.

Why quoting on the phone goes wrong

A gutter cleaner prices every job after looking at the roof: single or double storey, gutter guard, how much is up there, access. A trailer delivery business already has a booking engine on its website that works out the exact price from pickup and drop-off. A property inspector quotes from the report type and the size of the house. In each case a number given over the phone is either a guess or a repeat of something the website already does better.

The failure mode is predictable. The receptionist quotes a "from" price, the caller hears it as the price, and the first conversation the owner has with a new customer is about why the real quote is higher. One customer told us plainly: "I don't want it saying a number. I want the address and an email, and I'll send the quote."

What message-only mode does

With bookings switched off, the receptionist still answers in your business name, still sounds like a person, and still says yes first. "Can you come and look at my gutters this week?" gets "Absolutely, I'll get that organised; the team will call you to lock in the day." What changes is the second half of the call. Instead of checking a calendar it collects, one question at a time:

  • What they need, in enough detail for you to price it: service, property type, storeys, anything unusual.
  • The address, with the street spelled out when it is unusual and the number always captured.
  • Their name, and whether the number they are calling from is the best one to reach them on. Asked once.
  • An email address if they would like the written quote, read back once to check it.
  • Timing: today, this week, or a date.

Then it closes with a line you choose, something like "Thanks Janice, Jeff or one of the team will give you a call or email you with a quote, usually within a business day." It never says "you're booked", never names a time, and never gives a price.

What you receive

Straight after the call you get an SMS and an email. The message is structured so it reads in one glance: the service, the address, the email, the timing, and any notes. Same-day or urgent requests come through flagged. If you use an email inbox feature in your job management software, the email can be addressed so that replying goes to the customer, not to us.

Callers chasing an existing job, a quote they are waiting on, or an invoice are kept separate from new quotes so you are not asked to price something you have already priced. Sales calls from directories and advertisers are taken as messages too, never flagged urgent, whatever the caller says about deadlines.

When to turn bookings off

  • Your prices depend on seeing the job. Gutters, roofs, painting, landscaping, removals.
  • Your website already prices and books, so a phone booking at a different price would contradict it.
  • You are away for a stretch and want callers told that nothing can be locked in until you are back.
  • You run the diary yourself and would rather ring back than have anything land in it unseen.

Keep bookings on when the opposite is true: fixed-price services with a real calendar behind them, like a 30-minute first lesson, a dental check-up, or a salon cut, where the caller wants a time and you want it filled.

How to switch

It is one setting on your account, and we set it for you when you ask. The receptionist loses its booking tools entirely, so it cannot drift back into offering times, and its instructions change from "book it" to "take the details and file them". The same switch works the other way when your diary is ready to be opened up.

If you are weighing up cost as well, the sum is in PAYG or monthly: what an AI receptionist really costs. Message-only calls tend to be shorter, which helps.
